Privacy Policy for Staff Attendance App

This Privacy Policy describes how ERP1 ("we," "our," or "us") collects, uses, stores, and protects your information when you use the Staff Attendance mobile application (the "App").

Notice on Enterprise Scope: This App is an internal employee self-service management application intended solely for registered staff members of organizations powered by ERP1. It is not intended for the general public or commercial consumers.

1. Information We Collect

To provide attendance, payroll, and internal staff self-service features, we collect the following types of information:

A. Location Information (Precise and Approximate GPS)

  • What we collect: When you mark attendance, the App accesses your device’s precise GPS coordinates (latitude, longitude, and accuracy).
  • When we collect it: Location data is only collected at the exact moment you tap the "Mark In" or "Mark Out" button (foreground access only).
  • No Background Location Tracking: The App does NOT track your location continuously and does NOT collect location data in the background when the App is closed or minimized.
  • Why we collect it: To verify that you are physically present within your assigned office, branch, or workplace premises during sign-in and sign-out.
  • Storage & Security: Location coordinates are securely transmitted via HTTPS to our private server and stored alongside your attendance timestamp for official HR attendance records.

B. Personal & Account Information

  • Staff Profile: Your Staff ID, full name, branch, department, designation, appointment date, and contact details registered with your organization.
  • Authentication Data: Your Staff ID and encrypted password used to verify and authenticate your session.

C. Employment & HR Records

  • Attendance Logs: Timestamps of your daily sign-in and sign-out actions and total working hours.
  • Leaves & Staff Advances: Records of leave requests and internal salary advance/loan requests submitted through the App.
    (Note: Any loan or advance features within this App represent internal employee payroll advances facilitated by the employer and do not constitute commercial or personal loan services to the public).
  • Salary Information: Official pay slip breakdowns, allowances, and deductions as authorized by your organization.

D. Device Identifiers & Network Data

  • Installation UUID / Device ID: A randomly generated unique app-instance identifier created upon installation to bind your login session to your device and prevent attendance fraud.
  • IP Address: Captured when marking attendance via designated office Wi-Fi or IP-restricted networks.

2. How We Use Your Information

We use your data solely for legitimate internal organizational operations:

  1. Authenticating your identity as an authorized staff member.
  2. Verifying physical presence at authorized workplace locations for attendance logging.
  3. Processing leave applications, internal advance requests, and payroll calculations.
  4. Maintaining system security and preventing unauthorized access or attendance fraud.

3. Sharing of Information

Zero Third-Party Commercial Exploitation

We do NOT sell, rent, trade, or share your personal or location data with third-party advertisers, data brokers, or marketing entities.

Your data is accessible only by:

  • Authorized Human Resources (HR) and administrative personnel of your organization.
  • Secure backend servers hosted on our private cloud infrastructure.

4. Data Security

We enforce strong technical safeguards to keep your personal and location data secure:

  • All network communications between the mobile app and our servers are encrypted using HTTPS / TLS.
  • Passwords and credentials are cryptographically protected.
  • Database access is strictly restricted to authenticated administrative staff.

5. Data Retention & Account Deletion

  • Retention: Attendance logs, profile details, and payroll data are retained for the duration of your employment and as required by statutory labor and accounting regulations.

6. Children’s Privacy

This App is strictly an enterprise workplace tool for adult employees and is not directed to children under the age of 13.
